1. Who we are
Northwest Gaming Limited, registered in Ireland under number 781283, is the data controller for the personal information described here. You can contact us about anything on this page at bookings@nwgaming.ie or 089 256 8395.
2. What we collect, and why
When you book. Your name, email address, phone number, the address the party is at, the number of players, and any notes you give us. We need these to provide the service you have booked - that is our lawful basis: performance of a contract with you.
When you pay. Card details are entered directly with our payment provider and never reach our servers. We keep a record of what was paid, when, by what method, and the payment reference. Lawful basis: performance of a contract, and our legal obligation to keep accounting records.
When you buy or receive a gift voucher. The purchaser's and recipient's names and email addresses, and any message you write. Lawful basis: performance of a contract.
When you contact us. Your name, email address, phone number if you give it, and your message. Lawful basis: our legitimate interest in answering enquiries.
Emails we send you. We keep a record of the booking and voucher emails we have sent, including their content, so we can confirm what you were told and resend it if it goes astray. Lawful basis: our legitimate interest in running the service and resolving queries.
We do not carry out any profiling or automated decision-making, and we do not sell your information.
3. Cookies
This website does not use analytics, advertising or tracking cookies, and there is no third-party tracking on it.
One cookie is set when a member of our team signs in to the admin area, which is what keeps them signed in. It is strictly necessary and is not set for customers.
When you reach the payment step, our payment provider sets its own cookies to detect fraud. That is part of taking a card payment securely and cannot be turned off while still paying by card.
4. Who else handles your information
We use a small number of service providers, who act on our instructions and are not allowed to use your information for their own purposes:
- Stripe - processing card payments and refunds.
- Amazon Web Services (Simple Email Service) - sending our booking and voucher emails.
- Google - confirmed bookings are added to our own work calendar so the crew knows where to be. The calendar entry holds your name, phone number, email address, the party address, the number of players, the booking reference, what has been paid, any merchandise to bring, and any notes on the booking.
- Our hosting provider, which stores the website and its database.
We may also share information where we are legally required to, or to establish or defend a legal claim.
Some of these providers are based outside the European Economic Area, or may transfer data there. Where that happens the transfer is covered by the European Commission's standard contractual clauses, or another safeguard approved under the GDPR.
5. How long we keep it
Booking records, including payments, are kept for seven years, because tax law requires us to keep accounting records for that long.
Gift voucher records are kept until the voucher has been fully used or has expired, and then for seven years for the same reason.
Contact form enquiries and our record of the emails we have sent are kept while they are still useful for answering questions about a booking, and reviewed periodically so that nothing is held longer than it needs to be.
If you ask us to stop contacting you, we keep the minimum needed to make sure we do not contact you again.
6. Marketing
We only send marketing email if you have asked for it, or where you are already a customer and it relates to something similar to what you booked. Every marketing email has an unsubscribe link, and you can also email bookings@nwgaming.ie at any time to opt out. Unsubscribing does not affect emails about a booking you have made.
7. Your rights
Under the GDPR you have the right to:
- ask for a copy of the personal information we hold about you;
- have inaccurate information corrected;
- ask us to delete information, where we do not have to keep it;
- ask us to restrict how we use it, or object to us using it;
- receive information you gave us in a portable format;
- withdraw consent at any time, where we relied on consent.
Email bookings@nwgaming.ie and we will respond within one month. There is no charge for this.
If you are unhappy with how we have handled your information you can complain to the Data Protection Commission, 6 Pembroke Row, Dublin 2, D02 X963. Complaints have to be made in writing, through the contact form at dataprotection.ie. Their helpdesk is on 01 765 0100 or 1800 437 737.
8. Keeping it safe
Access to booking and customer records is limited to the people who need it, and is protected by individual accounts. Traffic to this website is encrypted, and card details are handled entirely by our payment provider.
No system is completely secure. Please do not send us card details, passwords or other sensitive information by email - email is not a secure channel.
9. Children
Our parties are for children, but the booking is made by an adult, and we do not knowingly collect personal information directly from children. Where a child appears in a photo we would like to use, we ask a parent or guardian first.
10. Changes to this policy
We may update these terms from time to time. The latest version will be available on this page.
